Privacy Policy

This Privacy Policy describes how Interviewology LLC, a Delaware C corporation ("Interviewology," "we," "our," or "us"), collects, uses, shares, and protects personal data when you use the Interviewology.ai website, applications, and related services (the "Services").

1. Roles

When an organization uses the Services to evaluate candidates and run interviews, the organization is the controller of personal data about its candidates, interviewers, and recruiters, and Interviewology acts as a processor on the organization's behalf. For our own marketing site, account registration, and billing, Interviewology acts as the controller.

2. Information We Collect

  • Account information. Name, work email, organization, role, password hash, and authentication tokens.
  • Customer Data. Candidate profiles, resumes, interview rubrics, scores, notes, voice recordings, transcripts, panel summaries, and other materials you submit.
  • Calendar & integration data. When you connect Google Workspace, Microsoft 365, an applicant tracking system, or similar tool, we receive availability, event metadata, and the records you authorize.
  • Usage & device data. Log data, IP address, browser type, device identifiers, pages viewed, feature interactions, and timestamps.
  • Cookies & similar technologies. Session cookies and limited analytics cookies used to operate, secure, and improve the Services.
  • Billing. Plan tier, billing contact, and payment metadata. Card numbers are processed by our payment processor; we do not store full card numbers.
  • Communications. Messages you send to support and your responses to surveys.

3. How We Use Information

  • To provide, maintain, and secure the Services;
  • To generate AI-assisted interview output (summaries, scoring suggestions, bias flags) for the customer that submitted the underlying data;
  • To authenticate users, prevent abuse, and enforce our Terms;
  • To communicate with you about your account, billing, and product updates;
  • To improve and develop the Services, including aggregated and de-identified analytics;
  • To comply with legal obligations and respond to lawful requests.

We do not sell personal data, and we do not use Customer Data to train foundation AI models for the benefit of other customers. AI processing for a customer's interviews uses Customer Data only to serve that customer.

4. Legal Bases (EEA / UK)

Where the GDPR or UK GDPR applies, we rely on: (a) performance of a contract to deliver the Services to you or your organization; (b) our legitimate interests in operating, securing, and improving the Services; (c) compliance with legal obligations; and (d) consent where required (for example, certain cookies or marketing emails).

5. How We Share Information

  • Within your organization. Customer Data is shared with your authorized users according to the role-based permissions you configure.
  • Service providers (sub-processors). Hosting, database, AI model, email/SMS, monitoring, error reporting, and payment providers that help us operate the Services under written contracts with confidentiality and security obligations.
  • Integrations you enable. Calendar providers and similar tools you choose to connect.
  • Legal & safety. When required to comply with law, valid legal process, or to protect the rights, property, or safety of Interviewology, our customers, or others.
  • Corporate transactions. In connection with a merger, acquisition, financing, or sale of assets, with appropriate confidentiality protections.

6. International Transfers

Interviewology is based in the United States, and we and our service providers may process personal data in the U.S. and other countries. Where required, we use appropriate transfer mechanisms such as the EU Standard Contractual Clauses and equivalent UK addenda.

7. Retention

We retain personal data for as long as needed to provide the Services and to comply with our legal obligations. Customer Data is retained for the duration of the customer's subscription and deleted or returned within a reasonable period after termination, subject to backup cycles and legal holds. Customers may request earlier deletion of specific records via in-product controls or by contacting us.

8. Security

We implement administrative, technical, and physical safeguards designed to protect personal data, including encryption in transit and at rest, role-based access control, audit logging, least-privilege production access, and regular security reviews. No system is perfectly secure, and we cannot guarantee absolute security.

9. Your Rights

Depending on your location, you may have rights to access, correct, delete, restrict, or port your personal data, to object to certain processing, and to lodge a complaint with a supervisory authority. California residents have rights under the CCPA/CPRA, including the right to know, delete, correct, and limit the use of sensitive personal information, and the right not to be discriminated against for exercising those rights. We do not sell personal information and do not "share" it for cross-context behavioral advertising as those terms are defined under the CCPA/CPRA.

If your data was provided by your employer or a prospective employer (for example, you are a candidate or interviewer), please direct rights requests to that organization first; we will assist them as their processor. Otherwise, contact us at privacy@interviewology.ai.

10. Children

The Services are not directed to children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us personal data, please contact us so we can delete it.

11. Cookies

We use cookies and similar technologies that are necessary to operate the Services (authentication, security, load balancing) and a limited set of analytics cookies to understand product usage. You can control cookies through your browser settings; disabling necessary cookies may break the Services.

12. Automated Decision-Making

The Services produce AI-assisted output to support hiring decisions. They are not designed to make solely automated decisions that produce legal or similarly significant effects on individuals. Customers are responsible for ensuring that meaningful human review is applied to all hiring decisions.

13. Changes to this Policy

We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy with a new effective date and, where appropriate, notify you by email or in-product notice.
